The Royal Danish Embassy in Budapest is looking for a maternity cover for the position of Head of Administration. The main objective of the position is back office management and administration, combined with HR and consular assistance with possibility to participate in cultural projects

Position: Head of Administration
Type of employment: Employment on a local contract
Starting date: May 2023 or soonest date thereafter

Main tasks and responsibilities:

  • Preparation of the Embassy’s detailed budget and continuous control of spending.
  • Handling received and undertaking payments, including payments via the local bank (e.g. salaries), as well as in- and outgoing postings.
  • Making agreements with suppliers, accepting goods and services, approve invoices.
  • Handling incomes, including consular- and commercial earnings.
  • Approval of travel expenses and other expenses.
  • Responsible for HR-tasks, including updating employment- and personal information, administrating salaries, contact with Payroll company, administration of pension subsidy and “Super User” function in the time registration of Foreign Ministry employees.
  • Responsible for administration of the lease and service agreement and communication with the suppliers of the Embassy’s services and the property owner.
  • Responsible for VAT refunds.
  • You will be part of the Embassy's consular team and contribute to helping Danish citizens and other related tasks including supporting digital registration.
  • Telephone and e-mail requests, ad-hoc tasks
  • Backup duties on request
  • Possibility to participate in projects of our cultural section
  • IT responsible

 

Required qualifications

  • Relevant qualifications and/or experience within Administration preferably from public sector or smaller companies
  • Practical and solution-oriented thinking
  • Good organizing skills
  • Fluency in Hungarian and English.
  • Ability to working independently and taking ownership, but also desire to be part of a team
  • Good spirits - even when things are hectic and busy.

 

Desired qualifications

  • Knowledge of any Scandinavian language would also be an advantage, but not a requirement.

 

Application and recruitment process

The employment is temporary for one year with the possibility of extension and will be based on local terms and conditions of the Hungarian labour market. Working hours 37 hours per week and occasional overtime should be expected. Salary will be based on qualifications and local conditions.
